How to program, edit and delete a Kantech fob or card in EntraPass
Step-by-step help for EntraPass Special Edition, Corporate Edition and EntraPass Web, for property managers and system administrators.
The quick answer
In EntraPass, go to Users > Card and click New. Type the number printed on the fob, enter the person’s name, choose an access level on the Access level tab, check the card state is Valid, and click Save. To stop a lost fob, set its card state to Lost/Stolen; to remove it completely, find the card and click Delete.
We’ll do it for you
Short on time, or no admin login? Our team can add, change or remove users, fobs and listings for you, remotely where your system allows it, or on site.
Before you start
Works with: EntraPass Special Edition and Corporate Edition (desktop), and EntraPass Web. Menus can differ slightly between versions.
Who it’s for: System administrators and property managers
You need: an EntraPass operator login that can edit cards, the number printed on the fob or card, and the access level to give. Access levels must already exist under Users > Access Level.

Program (add) a new fob or card
In EntraPass, click the Users tab, then click Card.
Click New (the first icon in the toolbar). The Card number field becomes active.
Type the number printed on the fob or card in Card number and press Enter.
Type the person’s name in Card user name (up to 50 characters).
Click the Access level tab and choose an access level from the list.
Click the Miscellaneous tab and check that Card state is set to Valid.
Click Save, then test the fob at a door.
If your system uses Enhanced User Management, the screens are a little different. Call us if you can’t find these options.
Change a fob’s name, access level or expiry
Go to Users > Card. Type the card number in Card number and press Enter, or use the arrows to find it.
Change Card user name if needed.
On the Access level tab, choose the new access level.
To set an expiry, open the Miscellaneous tab, check Use end date and pick the date. The card becomes Expired on that date. Check Delete when expired to remove it automatically.
Click Save.
Disable a lost or stolen fob
Go to Users > Card and find the card.
On the Miscellaneous tab, set Card state to Lost/Stolen (or Invalid).
Click Save. The fob stops working at every door, and its history is kept.
Delete a fob
Go to Users > Card and find the card.
Click Delete, then click Yes to confirm.
The card’s event history is kept. A deleted card has to be programmed again before it can be reused.
Using EntraPass Web
Add: on the Cardholder tab, click Add. Enter the name and card number, choose the card type, then click Access level and select the site or gateway and the access level.
Edit: on the Cardholder tab, select the cardholder, click Edit and change the fields.
Lost or stolen: select Lost/Stolen on the card.
Delete: on the Cardholder tab, select the cardholder and click Delete.
If it didn’t work
The fob doesn’t open the door
Check the card state is Valid, the access level includes that door and its schedule, and the card number matches the number printed on the fob.
“Card number already exists”
That fob is already programmed to someone else. Find it and edit or delete it first.
It works on some doors but not one
That door isn’t in the access level, or its schedule doesn’t allow entry at that time.
Old wireless fobs
Kantech has discontinued the ioProx wireless P82WLS and P84WLS fobs and the P700WLS receiver. See what it means for your building.
Rather we did it?
We’ll program, change or remove fobs for you, remotely where your system allows it, or on site.
Stuck with a system nobody will fix?
We repair and take over cameras, access control, intercoms and alarms installed by other companies, when your current provider has fallen short.
Questions
Can I program a fob without the number on it?
EntraPass needs the card number printed on the fob or card. If it has worn off or you can’t find it, call us and we’ll identify it or replace the fob.
What’s the difference between deleting a fob and marking it Lost/Stolen?
Lost/Stolen stops the fob at every door but keeps the card in the system. Delete removes the card; its event history is kept, but it has to be programmed again to be reused.
Can you program fobs for us remotely?
Often, yes, when the EntraPass computer can be reached remotely and you give us permission. Otherwise we book a visit.
Where can I buy replacement Kantech fobs?
From us. We match new fobs and cards to your readers and card format and can program them too. A photo of an existing fob helps.
Why does a new fob not work on one door?
Usually that door isn’t in the fob’s access level, or the door’s schedule doesn’t allow entry at that time. Check the access level first.
