How to add, edit and remove a resident in ButterflyMX

Step-by-step help for the ButterflyMX property manager dashboard, for property managers and community admins.

The quick answer

In short

Log in to the ButterflyMX dashboard on a computer, click Tenants (or Directory), then Add Tenant. Enter the resident’s email, name, phone number and unit, and click Save; they get an email to set up the app. To remove someone, click the three dots next to their name, choose Move Out and set the date to today.

We’ll do it for you

Short on time, or no admin login? Our team can add, change or remove users, fobs and listings for you, remotely where your system allows it, or on site.

Before you start

Works with: the ButterflyMX property manager dashboard. Older dashboards call residents “Tenants”; newer ones use “Directory”.

Who it’s for: Property managers and community admins

You need: Community Admin permission, and the resident’s correct email, name, phone number and unit. Search the directory first so you don’t create a duplicate.

Add a resident

  1. Log in to the ButterflyMX dashboard on a computer.

  2. Click Tenants in the left-hand menu (some dashboards show Directory).

  3. Click Add Tenant at the top left.

  4. Enter the email, first name, last name, phone number and unit. The email must be correct, because the registration email goes there.

  5. Optional: under Information, set an activation date for a future move-in. Under Presentation, set the name shown on the intercom or turn on Display only on search. Entry methods turned on for the building apply automatically; if door PINs are on, a PIN is created when you save.

  6. Click Save. If the building is live and they’re moving in now, they get a registration email to set up the app.

Adding a lot of residents at once? ButterflyMX has a bulk import from a spreadsheet. It may need to be turned on for your building first; ask ButterflyMX or us.

Edit a resident or move them to another unit

  1. Go to the directory and click the resident’s name.

  2. Click Edit at the top right, update the details and click Save.

  3. To move them to another unit: open their profile, click the three dots (⋮), choose Move Unit, pick the new unit and click Confirm.

On some dashboards a resident’s email address can only be changed by ButterflyMX support.

Move a resident out

  1. Go to the directory and find the resident.

  2. Click the three dots (⋮) next to their name and choose Move Out.

  3. Confirm the move-out date (today or earlier removes their access now) and click Confirm.

Remove their fobs, cards or door PINs before or during the move-out.

If it didn’t work

Details fill in by themselves while typing

The person already exists (in another unit or property). Use Move Unit or reactivate them instead of adding them again.

“There is an Issue” when saving

Usually a duplicate or invalid email, a missing name or email, or special characters in the name.

Still in the directory after move-out

The move-out date is in the future. Set it to today.

Questions

Can you manage our resident list for us?

Yes. We can add, change and move out residents, and help with fobs, door PINs and the building’s entry settings.

How do residents get the app?

When you save a resident in a live building, ButterflyMX emails them a link to register and set up the app. The email address must be correct.

Can I give a delivery driver or cleaner access?

Usually, yes, with a visitor pass or a separate entry method, depending on how your building is set up. Ask us if you’re not sure which to use. See delivery PINs and visitor passes.

Can ButterflyMX work with our existing access control?

Often, yes. It depends on the access control system and its version, so we check it during a site visit.
